The second is non-technical – if every time you opened your email system you saw thousands of email in your inbox you would feel that you needed to drop everything and do something about it right now! Instead your inbox should only be for newly arrived emails or for those that are being currently worked on. You should apply the discipline of deleting emails or taking action on them and then deleting them or storing them in folders. If you do this every time you go into your email system you will only have a relatively small number of emails in the inbox. It will be easier to handle and you will feel less stressed by it. So much email is background noise, creating clutter and confusion that stops you getting to the important stuff. Following the 80/20 rule you should delete the 80% you don’t want so that you can see the 20% that does matter. When you first go into your inbox triage it to highlight the important ones and delete the rubbish. This will make your email much easier to manage.
